Supporting the HR Manager in running operations of the HR Department, in particular: • Take ownership of all HR operations processes of the NMBI; • Evaluate and implement process improvements where needed; • Recruitment & Selection process; • Payroll and Remuneration: preparation of salary adjustments on a bi-weekly basis, management of increment process – monitor dates, complete paperwork and send instruction to salary department; administrative support for staff pensions and superannuation; including collecting data for Single Public Service Pension, and pre-existing and new entrants and leavers; • Audit: preparation for Office of the Comptroller and Auditor General C&AG; • Contract management: managing contracts with the NMBI HR/OD service providers; • Preparing reports for the Board and the Department of Health; • Organising staff training and development; • Process invoices through the finance system SAP; • Produce and analyse sick leave reports and turnover reports; • Management of time recording and flexi system; ensuring legal compliance • Ensure HR compliance with tender process requirements; • Management of probation process; • First point of contact for employee queries and employee relations issues (phone and email), escalating to HR Manager as necessary; • Health and Safety – hold Fire Warden meetings and conduct quarterly fire drills, monitor and report on incident reports, ongoing manual handling training, pre-empt possible hazards; conducting Pregnancy Risk Assessments and monitoring of maternity leave dates, including correspondence for same, conducting workplace risk assessments: fire safety, emergency evacuations and safety policy statement; • Diary management for the HR Manager; • Keep up to date with relevant circulars and legislation developments; • Carry out all ad hoc tasks assigned by the HR Manager or CEO as required.
